Job Title: Imports Administrator

Salary Range: P25,000 to P30,000

Working hours: Monday to Friday; 6:00 am to 3:00 pm PH time and NZ holidays off

Are you detail-oriented and organized? We are seeking a dedicated individual to assist our import team with daily administrative tasks related to import operations. This role is crucial in ensuring the smooth and efficient running of our department. You will handle Import Administration duties with precision, maintain clear communication, and meet self-imposed deadlines. Key Responsibilities:

  • Import Administration
    • On a daily basis, you will assess incoming containers for movements and delays.  Updating of ETA with BC will be required and communication with various stakeholders regarding this stock.
    • Process and manage import shipping documentation in a timely manner.
    • Creation of new PO’s and the loading of PI’s into the BC system.
    • Communicating new orders with the shipping agent 
    • Creation of stock allocations for new products and display products as well as the creation of transfer orders to manage product flow. 
    • Identifying and rectifying potential cascade errors.
    • Communicating new barcodes and label information to suppliers.
    • Assisting with the completion of the Vendor Refill replenishment system. 
    • Updating reports and spreadsheets when required.
  • Coding
    • Compiling item attributes and creating product codes for all ranges
    • Uploading the codes into BC and activating pricing
  • Assisting Item Maintenance
    • Implementing and following the “Discontinuation of product “process.
    • Updating item attributes when required.
    • Price updates are required when wholesale and retail prices are needed.
    • Price updates when required for Purchase prices.
    • Assisting with onboarding new products.
    • Reconfiguring codes to show display stock in their Parent / Set form in Stores

  • Costings
    • Creating pre-costings for proposed new products.
    • Creating costing upon shipment arrival
    • Updating standard costs within BC based on the shipment arrival costs
  • Communication
      • Participate in regular meetings within the import team and coordinate with all function teams to achieve company KPI.
      • Establish and maintain communications with suppliers where required and with internal team members to ensure timely workflow.
  • Process
    • Follow all set processes within the company
  • Continuous Improvement
    • With a real business improvement culture, it is the expectation that all staff actively work to evaluate current work practices to improve procedures and workflows
  • Health & Safety
    • Actively support safe workplace procedures and policies with regard to health, safety, and wellness within all company’s operations.
    • Ensure all workplace incidents are accurately recorded in a timely manner.

Key Attributes:

  • Bachelor’s degree in business administration or a related field
  • 2+ years of working experience in shipping logistics
  • Strong verbal and written communication skills
  • Strong analytical & problem-solving ability with attention to detail
  • High degree of computer literacy with proficiency in all Microsoft Office applications.
  • Ability to learn systems quickly and effectively.
  • Understanding of the furniture retail industry
  • Experience in shipping import documents 
  • A high degree of proficiency with Microsoft BC
  • Positive and enthusiastic, not afraid to challenge the status quo
  • Strong interpersonal skills and the ability to build strong  working relationships with key stakeholders and staff across all levels of the business
  • Proactive in the identification of opportunities and issues
  • A logical and methodical approach with the ability to think laterally and use initiative
  • Excellent time management with the ability to meet deadlines
  • Good communication skills 
  • Minimum of 100mbps internet speed
