Job Title: Admin Assistant

Salary Range: P25k – P30k (depending on skills & experience) 

Work Hours: Monday to Friday, 6:00 am-2:30 pm PH time

 

We’re looking for a dynamic and detail-driven individual to join our team and assist our legal client with the exciting migration and organization of client records into a new software system! In this role, you’ll ensure the smooth transfer of critical client and compliance information, archive old files, and verify system integrity throughout the transition. Key Responsibilities

 

  1. Document Migration:
  • Review all ID files in the new system and move relevant documents to client cards within the

software.

  • Complete the Anti-Money Laundering (AML) section of the client cards using information from legacy files.
  1. File Archiving:
  •  Archive old client files accurately to maintain compliance and accessibility.
  1. System Reconciliation:
  • Review archived purchase, sale, and refinance matters in the new system to ensure all information (e.g., documents, and emails) matches the legacy system.
  • Identify and rectify any discrepancies during the verification process.
  1. 4. Task Completion:
  • Follow provided video instructions meticulously to complete tasks independently.
  • Work collaboratively with internal team members when required, ensuring all tasks meet quality and compliance standards.
  1. Input account numbers and verification dates into client cards

 

Key Attributes Required

  • High accuracy and thoroughness in handling sensitive client and compliance data.

 

  1. Technical Competence:
  • Comfortable working with document management systems and following video instructions.

 

  1. Independence:
  • Ability to complete tasks with minimal supervision, following provided guidelines.

 

  1. Time Management:
  • Capable of prioritizing and completing tasks within the fixed project timeline of approximately 3 months.

 

  1. Adaptability:
  • Quick to learn new software and processes with a focus on maintaining data integrity.

 

  1. Team Collaboration:
  • Open to seeking clarification or assistance when needed while maintaining a self-directed approach
